Global Community Monitor (GCM) is an environmental justice and human rights non-profit organization that empowers industrial communities to recreate a clean, healthy and truly sustainable environment. Our offices are located in the East Bay of the San Francisco Bay Area. You may know us by our successful programs - the Bucket Brigade and Refinery Reform Campaign.

Global Community Monitor has trained industrial fenceline neighbors in 22 US states and 19 countries throughout the world in environmental sampling, media and environmental justice campaigning. Global Community Monitor builds on successful strategies used to hold major corporations accountable in the U.S and internationally.

Position Overview:
The Office Manager is a full-time staff position.

The Office Manager creates, maintains and manages the day-to-day administrative, human resources and basic bookkeeping functions of the GCM office and staff, as well as participates in short and long-term planning for the growth of the organization.

The Office Manager works from the GCM office and remotely from their home in each work-week. The work environment for this position is diverse and includes in person work at Global Community Monitor home office, telecommute, and occasional local travel.

The ideal candidate for this position is an independent, self-starter with a strong administrative management background and proven ability to create and maintain systems and structures. We're seeking a mature, flexible, well-organized individual with a good sense of humor and a commitment to environmental issues who can anticipate problems and efficiently employ their solutions.

As required, the Office Manger will also support efforts to cultivate and secure support special events activities.

Responsibilities:
Administrative and Organizational Functions:

Process and maintain A/P, A/R and other general bookkeeping tasks

Liaison with GCM's fiscal sponsor

Board Liaison, coordinate annual meetings, maintain meeting minutes

Work with staff for short and long-term strategic planning

Participate as a key member in various teams/committees

Travel Coordinator for all staff travel (domestic and international)

Supplies and facilities management for all office-related supplies and equipment

Foundation and Funder Management:

Monitor and oversee, together with the management team, the logistical delivery of all required foundation/institutional supporter updates, interim and final reports, and all other collateral incumbent to funder management; and the submission of foundation proposals

Create and help manage the flow/capture of funder-related information and contact reports in the organization's database

Supervise with Executive Director funder calendar of dates for solicitations, interim reports/updates, final reports, requests for renewed support, and all other pertinent information for institutional relationship management;

Human Resource Management:

Monitor, oversee and train staff on policies and procedures related to health and dental benefits, retirement plan, and employee handbook

Develop and coordinate quarterly and annual staff retreats

Manage recruiting process

Manage employee files

Maintain corporate insurance policies

Accounting and Bookkeeping Management:

Create and maintain contracts for subcontractors

Maintain vendor relationships, correspondence and records and act as point-person for vendors

Enter accounts receivable and payables into accounting system

Events:

Event planning: Lead role in coordinating and planning organization's events

Assist with establishment of a fundraising events calendar and a full organization events calendar;

Assist with logistical delivery/execution of fundraising events and, as needed, other engagement events. This includes invitations, list management, and on-site execution.

Manage organization's database and coordinate all mailers

Key Relationships:

Accountable to: Reports directly to the Executive Director and works closely and directly with all other members of the internal and external staff such as "independent contractors", reporting key accomplishments and tasks to all on a weekly basis.

Accountable for: All aspects and resources related to Office Management

Principal Contacts:
Internally: Executive Director.

Externally: Representatives from GCM's existing and potential foundation/institutional funders; other external agencies and bodies required to fulfil and deliver GCM's obligations to its foundation/institutional funders.

Qualifications:
Minimum Requirements:

Minimum 1-year of non-profit administrative management experience

Proven H/R background

QuickBooks

Proven ability to work and manage workload independently, often with very little supervision

Expert organizational skills

Excellent written and oral communication skills

Proven problem-solving skills

Well-versed in use of: Microsoft Office, supporter databases, social networking sites, travel sites

Event planning skills

Ability to work from home or other offsite location

Valid driver's license and automobile insurance

Work out of GCM office in El Cerrito, CA at least 50% of the time and also be able to work from home/remotely
Preferred Qualifications:
Experience working in a start-up environment

Background in environmental justice issues
Multi-lingual

Compensation: Full-time beginning Oct. 1st. Pay range is $33K-$35K commensurate with experience with opportunities for advancement
